Update
History
Version
5.6.5
-
Jobs In Progress Report. When selecting a date range for Date In, it did not work properly if a date range was specified. This has been corrected.
Version
5.6.4
-
Made a minor change to custom transaction export to bank mentioned in 5.6.3 update. Does not apply to other customers.
Version
5.6.3
-
Custom transaction export to bank for a specific customer. Does not apply to other customers.
Version
5.6.2
-
Aging Report. This report was changed as follows: 1) "Show Phone/Fax below Company Name" if checked, will show the phone
and fax below the company name instead of on the same line, and 2) "Blank lines to show after each account" allows you
to specify more space between companies.
-
Job History Search. When searching for partial descriptions, only part of the invoice was shown. However, the Invoice Total
shown was for all lines, even those not shown. A new check box has been added, "Total Lines Shown Only". If checked, the "Invoice
Total" will actually be a total including the lines shown only. If you leave the box unchecked, it will behave as it did before.
-
Sending Emails. Some mail servers require "authentication" to accept emails. The program has been expanded so that you can
specify a user name and password for the authentication process. Make sure you check "Server requires authentication" when
using this feature.
-
Update Finished Goods web site. The hosting company changed servers which caused a problem when A/R
tried to retrieve the invoice information from the web site.
This has been corrected.
Version
5.6.1
-
Modified FTP invoice program so that the date is included in the file name. This
should prevent the duplication of file names being sent. Only applies to those
who are sending invoices through FTP.
Version
5.6.0
-
Finished Goods web site integration changes.
Corrected an error that caused the invoice detail to be lost.
Version
5.5.9
-
Finished Goods web site integration changes.
Customer PO # is now stored with the invoice.
Version
5.5.8
-
Finished Goods web site integration changes.
Partial shipments are no longer invoiced. Zero ship cost now shows on invoice
so you can see how the product was shipped. Ship date and ship via now say "see below". You can now invoice a portion
of the invoices ready for invoicing instead of being forced to invoice them all.
Version
5.5.7
-
Invoicing, special freight line. If more than one invoice in a batch
uses the special freight feature (a checkbox during data entry), the
description the the freight line at the bottom of the invoice became
confused.
-
Invoice Entry. The batch total which shows during invoice entry was
not always correct. Since this total wasn't serving any real purpose,
it has been removed.
-
Jobs In Progress. When entering jobs in progress, you can now choose
from shipping addresses on file for customers. If a customer does not have
any shipping address on file, this option does not appear. It appears as
a list of options right below the shipping address. Just click on the
address you wish to use.
-
Customer Labels. You can now print labels using the customer's shipping
addresses instead of the billing address. This can be used if you wish
to make shipping labels for customers.
-
Finished Goods Integration. This version integrates with the
Press-tige Finished Goods web site. Invoices created on the web
site are downloaded into the application. Go to data entry -->
Invoice from Finished Goods to call up this option. Make sure you
specify the distribution codes to be used the first time you use
this option.
Version
5.5.6
-
Invoices from Jobs in Progress.
When using the option "Lookup Jobs in Progress" from invoicing, you now have a checkbox "Erase Jobs in Progress after Invoicing".
If checked, the job is erased from jobs in progress when the invoice is accepted. If not checked, the job in progress will not
be erased. This is useful in cases where you are making multiple shipments on a single job.
-
Invoicing. The field called [c.30] (resale #) now functions correctly if you wish to include that field in your invoice.
Version
5.5.5
-
When emailing invoices you can now send an invoice to more than one email address per
customer. In Customer Add/Change/Delete, enter the email addresses to send to separated
by a space. The program will send the invoice to each person on the list.
Version
5.5.3 and 5.5.4
- Custom FTP capabilities written
for a specific customer. Does not affect other users of the software. No other changes made.
Version
5.5.2
- Custom feature written
for a specific customer. Does not affect other users of the software. No other changes made.
Version
5.5.1
- Job
History. You can now sort reports by customer # as well
as customer name.
- Month
End Close. You can now print the screen that shows when
you check to see if you are in balance.
Version
5.5.0
- Report
- Sales History By... An error has been corrected in this
report which caused the company name to be incorrect when
sorting by customer number. This has been corrected.
- Distribution
Report. A new field has been added where you can specify
the "Aging Total at Start of Year". This allows
the report to show an accurate record of the accounts receivable
aging total at the end of this report.
Version
5.4.9
- Invoicing.
When saving for posting the program would hang without a
message if it
was trying to post an invoice that already existed in the
job history header file but not in the detail file.
- Job
History Search. In some cases, an error 5 occured when searching.
This error was not serious, but has been corrected.
- Payment
Entry. When entering payments, when you clicked on "List
Invoices" it was possible for paid invoices to show
up on the list. For the same reason, it was possible for
these same invoices to show up as unpaid invoices on commission
reports when the
invoice was actually paid. This problem was due to an internal
rounding problem that showed up only in rare circumstances,
but has been corrected on this update.
- Packing
Slips. When printing packing slips, the quantity per carton
for the first quantity was not printing correctly. This
has been corrected. This problem was probably introduced
in 5.4.8.
- Sales
History by ... Report. Several changes have been made
to this report. 1) When "Skip Customers with No Sales"
is not checked, it now includes all customers on the report,
whether they have sales or not, 2) You can now include totals
from Sales History, Commission Sub-Total or all sales. This
allows you to include or exclude freight, sales tax etc.
as you wish, 3) The data source will always be the distribution
file. This is the most accurate data and will agree with
postings made and changes to distribution code options on
the fly, 4) You can now print a summary or detailed version
of the report. The detailed version shows you the transactions
behind the totals so you can diagnose errors more easily.
- Checking
for Errors. When you check the customer file for errors,
if you have marked some of your customers as "Inactive",
the program would return an error when there was none. This
has been corrected on this update.
- Shipping
Address Add/Change/Delete. Some problems were corrected
with finding the customer number where the customer had
a company name that was exactly 30 characters long.
- Jobs
in Progress Report. On reports sorted by customer, the customer
is shown on a separate line so that the job description
can be shown in full. The reports for other sort orders
have not changed.
Version
5.4.8
- Year
End Close. This routine was modified so that the
prior year's distribution detail is not erased. This will
allow us to do more sophisticated comparisons between the
current and previous year in the future. Make sure that
you update to this version or later before closing your
year!
- Distribution
Report. This report has been enhanced to allow you to display
current or prior year information. Be aware that you might
not have any prior year information in your distribution
file at this time.
- Transaction
by Type Report. A new checkbox was added "Ignore Out of
Sequence on Invoice and Job #s". When checked, the program
will not check for missing invoice numbers. These out of
sequence invoice #'s and job #'s are normally indicated
by an asterisk (*).
- Show
Invoice Details. When displaying a report, you may highlight
an invoice line and click on "Show Invoice Details". This
feature was not working if the invoice # included an * which
indicated an out of sequence situation on the Transaction
by Type report.
- Packing
Slips. If you printed labels for multiple cartons where
the last carton was a partial quantity, the program was
showing the full quantity by mistake. This has been corrected.
- Packing
Slips. If you tried to print labels for multiple shipments
at one time, the labels were not printed properly. This
has been corrected.
- Sales
History Report. A new checkbox, "Omit % of Sales on Report",
has been added. When checked no percentages will be shown
on the report.
Version
5.4.7
- Network
Installation Change. A change has been made to
the installation procedure to make it easier for network
users to install the program automatically on all work stations
without having to install on each one. This requires the
use of ID113 or later, which is the security program most
people use to get into the programs on a network. For more
information, see the User Support --> On-line Manuals
area on www.press-tige.com/p2000.
Version
5.4.6
- Sales
History by ... Report. When printing this report using the
distribution file is the data source, a new check box has
been added called "Omit All Payments from the Report". If
checked, then no payments will be included on the report,
regardless which distribution code the payments were posted
to. In most cases, this feature is not needed, only if invoices
and payments were posted to the same distribution code.
Version
5.4.5
- Invoice
Printing. When a deposit on a job matches the invoice amount
on a taxable invoice, it is possible to have the amount
left owing show as "-.01" instead of zero. This is due to
a rounding problem with the tax and has been corrected on
this update.
- Shipping
Addresses. This database was modified so that shipping addresses
within the same customer are now sorted by the first address
line. This should make it easier to find addresses for customers
with many shipping addresses.
- Program
Access. If you are on a Windows 2000 or Windows NT server
and you wish to deny access of certain users to certain
companies, you can now set the attributes of "arconame.mas"
(where mas is the abbreviation) to Deny Read.
Once you do this, each person will only see those companies
to which they have proper authority.
- Sales
Rep Invoice Analysis Report. Added a checkbox titled "Include
Credits and Adjustments". If checked, the report will show
all credits and adjustments as well as invoices. If not
checked, the report behaves the same as before, showing
only invoices.
Version
5.4.4
- Period
Date Range. If your year ends in February, the program showed
your year end as 2/28/00 when it should have been 2/29/00
because 2000 is a leap year. The problem showed up on all
reports and has been corrected.
- Invoice
Printing, zero amounts. Normally when you leave the amount
out of an invoice line it is assumed to be a comment and
no amount is printed on the invoice. A new feature allows
you to print ".00" in the amount column if the distribution
code is not zero. This way you can have comment lines with
no amount and other lines where you specifically want to
let the customer know that you are not charging for this
item. This zero will also show in the same way on job history
searches and reports.
- Packing
Slip Entry. When creating a new packing slip, the program
now takes any data it can find from the Jobs in Progress
database. This should save a lot of duplicated work.
- Aging
Analysis Report. A new feature has been added which only
affect you if you factor your Accounts Receivable. A checkbox
titled "Show Factored Invoices Only" has been included.
If this is checked, then only factored invoices are shown
on the report. Keep in mind that since only a portion of
the transactions are being shown, the company total shown
at the bottom of the report only reflects the data printed,
not the total for the entire company.
Version
5.4.3
- Sales
History By... Report. When printing the report for a single
sales rep and using the Distribution File as the source
of data, the very last customer in the database was showing
up in each each sales rep report. If you printed them all
at once, it worked properly. This has been corrected.
- Invoice
Entry. Phantom shipping problem. If you said "change" on
a previously entered invoice which had a shipping address,
but didn't change anything, the program remembered the shipping
address and put it on the next invoice by mistake. This
has been corrected on this version. Hopefully we can put
the phantom shipping problem to bed now.
- Packing
Slips, Check Errors in Data. If you did a check and stop,
the program was misbehaving terribly and any # of strange
messages might come up. This has been corrected.
- Packing
Slip Entry. If you "Print and Save" it will now clear the
packing slip from the screen. This makes it more consistent,
it now behaves just like the "Save" except it also prints.
- Month
End Close. Checking to see if you are in balance works fine
for the current month, but if you try to check to see if
you are in balance for the next month before closing the
previous month, the program gave you an erroneous out of
balance message. This has been corrected on this version.
- Job
Tracking Update. If Job Tracking is installed, the program
erases the job from job tracking as soon as the job is invoiced.
This update to A/R updates Job Tracking version 1.0.9 or
later. Earlier versions of Job Tracking used a different
internal database and A/R needed to be updated to accomodate
the changes.
- Security.
Streamlined some of the wording when setting rights in ID
so that A/R works better with ID Version 1.1.2 and later.
- Year-End
Close. When closing the year, the system was not erasing
the older detail distribution information as it should.
The previous and new year distribution is saved, older information
is erased.
Version
5.4.2
- Invoice
Entry. Sales Rep problem on 5.4.1. The first character
of the sales rep was being deleted by mistake when an invoice
line was saved. This bug was introduced in 5.4.1 and is
being corrected here. If you are using 5.4.1, stop immediately
and update to 5.4.2 if you are using the commission module!
- Invoicing
from Jobs in Progress. When moving an invoice from Jobs
in Progress to Invoicing, the program was overriding the
sales rep with the sales rep found in the customer file
regardless of the sales rep entered in jobs in progress.
This has been changed so that the sales rep found in jobs
in progress is preserved. However, if the sales rep is left
blank in jobs in progress, then the sales rep from the customer
file will be inserted on the invoice.
Version
5.4.1
- New
Feature. Analyse Best Customers. This option
will rank your customers according to how much they have
purchased. Very useful in deciding where to concentrate
efforts. You will find this option under "Misc".
- New
Feature. Tracking Factored Invoices. If
you use a factor for your Accounts Receivable, this feature
is designed for you. For a complete list of changes, click
on Factoring.
- Job
History. Search by sales rep if no customer was specified
did not work. This was corrected on this version.
- Sales
History by ... Report. A feature was added that allows you
to sort by customer # within each group if you like. Also,
there were some bugs found when using the distribution file
as the source for the report. These problems were corrected.
- Sales
History by ... Report. Added the ability to print the report
for the previous year (from customer file only).
- Commission
Report. A feature has been added where you can reduce the
commission bya certain percent if the invoice was paid late.
This can be done in two steps. For example, you can reduce
the commission by 50% if the invoice was paid 60-89 days
late and 100% if the invoice was paid 90 days late or more.
If this is not specified, the report behaves normally and
does not reduce the commission for late invoices. The days
late is determined by comparing the date paid with the invoice
date on the invoice.
- Invoice
Printing. You now have the option of printing invoices in
the order entered as well as by Invoice # or Company name.
- Commission
File. A comment field was added so you can now keep a record
of why commissions were changed. You can optionally include
these comments on the commission report if you wish.
- Customer
Labels. An option has been added which allows you to print
labels for specific customers that you pick one at at time.
This is useful for situations where you wish to print several
customer labels, but selecting which customers to print
cannot be done automatically.
- Posting
to Distribution Code Zero. The program now lets you post
to distribution code zero provided that the distribution
code is defined in "Distribution Add/Change/Delete".
Version
5.4.0
- Invoice
Printing. If you must have a quantity ordered and a quantity
shipped on your invoices, you can now code your invoices
with [d.4a] for the quantity ordered and [d.4b] for the
rest of description. This will work if you always put the
quantity ordered at the first part of the description line
on the invoice. If the first character is not numeric, then
it doesn't split them up. This way you can still enter regular
description lines if you like.
- Import
from DOS. When importing payment history data, the program
was not properly recognizing deleted records. The result
was an Error 13 and some garbage records in the history.
This has been corrected on this verson.
- Posting.
In some cases an Error 91 could show up during posting.
The error was not serious, but should be eliminated with
this version.
- Update
Job Costing (Windows). Now date shipped is copied from the
invoice to the job. Also, if you invoice the same job more
than once, the invoice amount is added to the previous total
in the job file instead of replacing the older total.
- Automatic
Finance Charge. When generating finance chgs automatically,
the program was charging customers even if they had "Omit
Finance Charges" checked in their customer file. This has
been corrected.
Version
5.3.9
- Commission
Add/Chg/Delete. Error 5 has been corrected. Unfortunately,
this stopped the program and did not allow you to get into
this option.
- Entering
Payments against Finance Charges. There has apparently been
a bug in the program all along regarding finance charges.
Apparently it hasn't shown up earlier because most people
do not use this feature. When applying a payment or credit
against a finance charge, the program became confused and
didn't set the "Apply To" field properly. The result was
a bogus error message that showed up during posting, even
though the actual posting appeared to be fine. This problem
has been corrected on this version.
Version
5.3.8
- Packing
Slips. This is an entirely new area within Accounts
Receivable. This is basically the windows version of the
older Packing Slip program under DOS. Simply import the
data from the older program and start doing packing slips
in Windows. The main new feature is that you can now print
"fancy" labels and packing slips if you wish. Please note
that if you are integrating packing slips with Job Costing,
you must be running the Windows version of Job Costing.
- Invoice
from Jobs in Progress. When you invoice from jobs in progress
and that job was created from Estimating, there will be
no distribution code on the detail lines since Estimating
does not understand distribution codes. If, however, you
have filled in your customers in the "Normal Sales Type"
field (foundon page 2 of the customer file) with the normal
distribution code for this customer, each detail line will
now automatically be filled in with this distribution code.
This should prevent invoices being posted with a blank or
zero distribution code.
- Displaying
Reports. When you display reports on the screen and do not
print them, you will now be returned to the report screen
instead of back to the starting point. This makes it more
convenient if you wish to display various reports before
deciding which one to print.
Version
5.3.7
- Jobs
in Progress. Cleaned up a couple of minor points dealing
with the integration with Windows Order Entry. NOTE:
If you have jobs stored in Jobs in Progress from previous
versions of A/R, the job total shown on the first screen
will be incorrect (100X correct value). The job itself is
correct, just the display is incorrect.
- Update
Job Tracking. If the job tracking program is installed,
but there is no database present, the program will not attempt
to update job tracking. The only interraction is that the
job is erased from job tracking when the invoice is written.
- Error
Handling. An option was added that when an error occurs,
you can turn off future errors if you like. This makes it
easier if you are having a series of error messages that
you want to get through without having to select OK several
times. This rarely happens, especially in Press-tige programs,
but it comes in handy sometimes.
- Printing
small. I added some code which hopefully will help get rid
of the problem that comes up sometimes where the print is
very small, too small to read.
- Distribution
Add/Change/Delete. Added a checkbox called "Exclude from
Job Cost Invoice Total". This allows you to control which
parts of the invoice are included in the invoice total sent
to job costing.
Version
5.3.6
- Jobs
in Progress Entry. When calculating an extended price given
a quantity and amount, the program misbehaved if the quantity
was a fraction.
- Deposit
Summary. This report was not finding deposits correctly
if the cash in bank account was not the first account in
the distribution code file.
- Aging
Analysis. Added a checkbox which allows you to show both
the invoice number and job number on invoices. Note that
this may not fit in the room available if the invoice plus
the job number is more than 10 characters.
- Aging
Analysis. When sorting by sales rep, if some customers left
the sales rep field blank, this rep was not getting a sub-total
on the report. This was corrected.
- Invoice
Entry. When displaying detail lines, the entire description
is now displayed at the top of the screen when the line
is saved. I had to take out the amount column and leave
just the extended amount to make room.
- Output
DOS compatible files. A change was made to make sure that
the sales rep is moved correctly into the DOS files. This
was necessary because Windows AR allows up to 3 reps per
customer, but the DOS program allows only one. Only the
first sales rep is moved to the DOS if more than one rep
is entered.
Version
5.3.5
- Aging
Analysis. When printing by sales rep, if the sales rep initials
was less than 3 digits, the program misbehaved.
- Month
End Close. When checking to see if you are in balance, the
program could get a type mismatch error if damaged data
is encountered. Processing was also speeded up in this section.
Version
5.3.4
- Payment
Entry. Somehow the program got the nasty habit of failing
to move to the amount column after filling in the check
and bank info (assuming all other entries were made). This
meant that a couple of extra keystrokes were needed, but
not any more.
- Restore
from Backup. In some cases, typically restoring from zip
drives, an error 380 would appear. This error was annoying,
but did not cause any serious problem and has been corrected.
- Invoice
Printing. Those of you who use the hidden line feature on
invoices may have noticed that it was not working properly
if you entered several description lines and then a hidden
line. The $ amount was showing up on the last description
line instead of combining with the first line above that
already had a $ amount. This has been corrected on this
update.
- Job
Costing Update. The Windows Version of Job Costing
is now update it is installed on the computer running Accounts
Receivable.
- Invoice
Printing. When printing discount terms, the program now
accepts terms like "2%10NET30" without any spaces and does
the correct processing.
- Program
startup. The program now remembers whether the window filled
entire screen or just part of the screen so that it will
start up the same way next time.
Version
5.3.3
- Deposits.
If you wish to post a deposit, but you don't know the job
# or the deposit will be applied towards multiple jobs,
you can now do that in the program. Just tell it that the
payment is a deposit towards job # 1. There is a reminder
in the help note at the bottom of the screen when at the
job # field in payment entry. When you invoice that customer,
it will ask how much of the deposit you wish to apply against
the invoice.
- Invoice
Entry. The total you see on the screen when entering invoices
now includes sales tax.
- Invoice
Entry. If your invoice number and job number are the same,
the program forgot to check for deposits on the job. This
has been corrected.
- Customer
Add/Change/Delete. If the sales rep's initials that were
entered in the customer file were not found in the Sales
Rep name file, then the initials were inadvertently erased
in the customer's record. This has been corrected.
- Sales
History by... Sales Rep. Since we changed the sales rep
in the customer record so that a maximum of 3 sales reps
can be defined per customer (Version 5.3.0), the Aging Analysis
(when sorted by Sales Rep) and the Sales Rep Invoice Analysis
reports have behaved badly. This was corrected on this version.
- Startup
Screen. When selecting the company abbreviation, it now
shows the entire company name, not just the abbreviation.
This should make it easier to select the correct company
if you have several databases active.
- Job
History Search. When displaying the results of a search
on the screen, if you clicked on "Show Invoice Detail" in
the upper left portion of the display window you received
an error message. This was corrected.
- Printer
Setup. A new option "Setup Printer" has been added under
the "File" menu. Here you can setup the printer configurations
for each type of output all in one place.
Version
5.3.2
- Sales
Rep Commission in Customer File. I turns out that
if you had a commission of 9.00% in the customer file, it
changed it to 900 percent. Now the sales reps might not
complain, but the owner might. The program has been corrected
to divide by 100 if it finds a commission of 100% or more
in the customer file. This problem was the result of the
change made in version 5.3.0 below.
Version
5.3.1 (dll 5.3.1)
- Sales
Rep in Customer File. An error was introduced in
version 5.3.0 below. It is very important that you use this
version instead of 5.3.0 if you have sales reps. The sales
rep was not being recalled properly in version 5.3.0. It
appears that the sales rep information is lost, but in fact
it is still there Version 5.3.0 is looking in the wrong
place for the sales rep information. This affects all options
that uses the sales rep.
Version
5.3.0 (dll 5.3.0)
- IMPORTANT.
If you are using Press-tige's Estimating program you must
update Estimating at the same time as A/R. Estimating must
be version 7.1.0 or later!!
- Invoice
Entry. Description lines can now be multi-line.
This makes it easier when entering a lot of descriptive
information on an invoice. When the line is saved, the lines
are broken up and stored separately as if you had entered
them one at a time. Keep in mind that each line can only
be 47 characters long. The program will automatically force
each line to 47, so verify your description after saving
the line.
- Commissions.
You can now have up to three sales reps getting commission
on an invoice. Just list each rep in the invoice header
section separated by spaces. If each rep is to get a differrent
commission, separate the commissions by a space also. Make
sure that the commissions are in the same order as the reps.
On the actual invoice, only the first sales rep in the list
shows.
- General
Problem. Occasionally, the message "File Already Open" showed
up. It took a while before I could see the pattern. Looks
like the job history search function was not properly closing
the customer file. This has now been corrected and hopefully
won't rear its ugly head again.
- Distribution
Report. If you happened to have transactions from previous
years in your distribution file they were improperly being
added into your year to date totals. This has been corrected.
- Check
Errors in Data. When rebuilding the detail distribution
file, the program now removes all transactions not in the
current year. This cleans up your file is you have older
transactions hanging around.
- Freight
Lines on Invoices. The freight feature has been expanded
to allow multiple freight lines below the sub-total if desired.
The previous version would summarize the freight lines into
one line, but now each freight line can show separately.
This will work correctly with no changes if you are using
the "simple" invoice format. If you are using the "fancy"
format you need to change your invoice format slightly.
The following commands should be on one line (they are shown
here as separate lines so you can read them easier):
font Arial || disp -2:4/8 +4/16 "" ||
disp +0 +0 "[freight]" {freight$} ||
font Courier New ||
disp +2:4/8 +0 "" ||
disp +0 +0 "[freight$]"
This line will be repeated for each freight line that you
specify in your invoice. Note that || separates each command
when putting commands on the same line. "|" is the character
above the backslash on most keyboards.
- Job
History, Miscellaneous Customers. If you invoice miscellaneous
customers by filling in the customer information on the
invoice itself, the actual customer invoiced was not showing
up on Job History. This has been corrected. However, this
only affects future invoices written, not invoices already
in history. Note that I recommend not using miscelleous
customers in this way. Setting up a customer is not difficult
and it is easy to set the customer Inactive if necessary.
- FTP
Invoices. A couple of changes have been made. A checkbox
has been added to the setup area, "Eliminate Carriage Returns
from Output File". If checked, all carriage returns will
be removed from the output file. This is typical for Unix
systems. The file name that is being sent is now of the
format "invMMDDYYYY.csv" where MMDDYYYYY is the accounting
date. If you FTP more than batch in a day, then a letter
will be placed after the year to make sure that duplicate
file names are not being sent.
Version
5.2.9 (dll 5.2.9)
- Invoice
Entry. Several internal changes were made to try
to make the data entry more consistent. On some computers,
editing the header information would wipe out invoice numbers
and other fields. One difference is that you must use
the Enter key to move from one field to the next.
If you use the TAB key no error checking, customer lookups
etc. will be done.
- Invoice
Entry. Shipping addresses that were entered on the invoice
header screen were lost. This has been corrected.
- Invoice
Entry. If a ship to address was changed on the preview screen,
then at a later time the invoice was previewed again, the
job # would be erased from the job. This has been corrected.
- Invoice
Entry. If an invoice was changed after it was printed, the
program did not force you to print the invoice again before
saving for posting. This has been corrected.
- Invoice
Entry. Normally the "accounting date" defaults to the invoice
date if no date is entered. A new feature has been added
to the Company Name etc. area where you can have the default
accounting date be "today's" date instead. Today's date
is defined as the date you tell the program when it is started.
This is the date that is shown in the lower right hand corner
of the main screen.
- Invoice
Entry. If the "Normal Sales Type" in the customer file has
a valid distribution code (see page 2 in Customer File),
then this will be considered the default distribution code
for this customer and will be inserted automatically on
each invoice line. Naturally, you can change the distribution
code on the invoice if you like.
- Sales
History by Sales Rep Report has been expanded.
You can now sort by State, Zip Code and Select Code in addition
to Sales Rep. You can also select from two data input sources,
the Customer File and the Distirbution File. The customer
file stores a summary of transactions grouped by period.
The distribution file is a record of each transaction posted.
The two reports should normally agree. If they don't agree
it is because some distribution code options were changed
since the transactions were posted, or some of the distribution
information has been erased as part of the month end close.
Note that month end close no longer erases distribution
information. Normally, if the two reports disagree, the
one based on the distribution data is more accurate, especially
for the Month to Date values.
- Transactions
by Type Report. Credit invoices were not showing up on the
report when printing by job. This has been corrected.
- Credit/Adjustment
Entry. If you enter a negative amount, the transaction is
automatically switched to a credit.
- Company
Name etc. Added default freight distribution code. When
invoicing, the freight distribution code will be automatically
inserted when the Special Freight checkbox is checked (unless
there is already a distribution code specified).
- Statements.
If you are printing individual statements by manually selecting
customers and you are printing on continuous paper (simple
format), you can now print all the statements at once so
they can print correctly instead of doing a form feed at
the end of each statement. Just check the "Save all Statements
and Print When Done" check box. If you are printing "Fancy"
statements, this check box will not be shown.
- Distribution
Report has been speeded up. The date filtering was too slow
for the large files which will be accumulated since we are
no longer erasing distribution detail when the month is
closed.
Version
5.2.8 (dll 5.2.8)
- Job
History Search. When searching and interrupting the search,
the program would leave open the job history file even after
ending the option. This could cause problems on future searches
and during an error check or rebuild. The problem has been
corrected. So be extra safe, it is recommended that you
end out of the program and go back in before rebuilding
the job history database. Please note that rebuilding should
not be done unless you are certain that damage has occurred.
- Statements.
Added a "current" column for items less than 30 days old.
This way you can add [current] for your aging columns at
the bottom of the statement if you wish.
- Invoice
Printing. Discount calculation can now exclude any distribution
code. This was done by adding "Exclude from Discount Calculation"
in the distribution file. Make sure that this box is checked
on all distribution codes that should be excluded from the
discount calculation. Freight must also be checked.
- Invoice
Printing. If you had an invoice with more than 100 lines
you got an error message and any lines past 100 were not
printed on the invoice. This has been changed to a maximum
of 200 lines on an invoice and it now displays an error
message if you exceed 200 lines on an invoice. Hopefully
you won't.
- Invoice
Post. A new check box, "Include Job # When Posting Invoices"
has been added. When checked the job # will print on the
posting report.
- Transaction
History (found within Customer Status Display). The option
to show 12 months, 24 months or all history has been added
to this option.
- Customer
File. Added a Resale # and an "Inactive" checkbox, both
on page 2. If the customer is marked inactive it will not
appear on any reports except job history. You will also
not be able to post transactions to inactive customers.
- Job
History. Made some minor adjustments to try to catch a problem
that one customer is having, namely some invoices just disappearing
(you know who you are).
- Invoice
Entry. An error 6 resulted when you tried to enter a ship
to address for a customer who had no prior ship to addresses.
This was corrected.
- List
of Periods on Report. The last period listed sometimes showed
1910 as the year instead of 2000. This has been corrected.
- Month
End Close. When closing the month, the program does not
erase the distribution detail, but it does mark each transaction
send to General Ledger. In the distribution report, you
can now ask for all transactions, just those sent to G/L,
or just those not sent to G/L. This new feature allows you
to review past month's detail. Keep in mind that reports
will come up a little slower towards the end of the year
because the program has more data to sift through.
Version
5.2.7
- Statements.
Added the ability to print charges and credits in separate
columns if you wish. Put the command [charge] for charges,
and [credit] for credits.
- The
company abbreviation is now displayed right after the company
name on the lower left portion of the screen. This way you
can tell which company abbreviation you are currently looking
at. This can be helpful if you have several different companies
set up.
- Invoice
Printing. If you are printing unit prices on invoices, you
can now force the number of digits past the decimal to be
the same on all unit prices. Just insert a command like
[u.4] to force 4 digits past the decimal. Put this command
on a blank line towards the top of your invoice format definition.
This line will not print on your invoice.
Version
5.2.6 (dll version 5.2.6)
- Job
History. Correct errors in data. When checking or correcting
job history, you will find a header file, detail file, and
an option called Job History Job Match. First make sure
your header and detail file are correct. If they are not,
make sure your backup your data (using File --> Backup
Data), then correct the files in error. Then you can check
the Job History Job Match option. If there are errors you
can correct. There was a program bug in the Job History
Job Match rebuild. It would bring back old transactions
that had no invoice information. This has been changed so
that these orphaned line items are erased. There was no
reasonable way to reconstruct these invoices without the
corresponding header record because there is no invoice
date available. The symptom on earlier versions was that
you would see a lot of invoices dated today's date in job
history that were in fact very old invoices.
- Invoice
Entry. When deleting invoices in invoice entry, the program
was not keeping the batch total up to date. This has been
corrected.
Version
5.2.5 (dll Version 5.2.5)
- Invoice
Entry. In some cases, the Job# label above the job # field
is replaced with the word "label". This causes the program
to lose the job # information on the invoice, even though
it was entered correctly. I have made a couple of internal
changes to try and correct this problem, even though I cannot
get the problem to happen on my computer.
- Shipping
Address Add/Change/Delete. This option has been added to
the setup section so that you can maintain your shipping
address list more conveniently.
- Print
Shipping Address. Also added a report so you can print your
shipping address file if you like (see Reports, just under
Customer List).
- Commission
Report. Added a blank line after each customer to give you
room to make notes on the report if desired.
- Customer
Payment History. Added the customer # to the payment history
report.
- Customer
Status Display. When printing the customer status display,
the program now checks for the end of page instead of just
printing through the page break. I guess I didn't think
you would have customers with a list of unpaid invoices
longer than one page.
Version
5.2.4
- Displaying
Reports. Then you press Pg Up when you are the top of the
page, you will be placed on the previous page. If you press
Pg Dn when you are at the bottom of a page, you will be
placed at the top of the next page.
- Aging
Analysis. Added a sales rep summary to the end of the report
if sorting by sales rep.
- Invoice
Entry. Sometimes when you clicked on a line to change, the
program thought you were looking up a customer code and
would (after a delay) display a list of your customers when
not desired. I think I fixed this.
- Invoice
Entry. If you enter some information and then change the
customer number, the program will now clear the job number
for you, assuming that the job number must be changing.
- Invoice
Printing. In some cases, the unit price did not show up
correctly when hidden lines were included on the invoice.
I think I fixed it, but since I had trouble duplicating
the problem, I'm not positive.
- Invoice
Printing. In some cases, you got an extra blank sheet between
invoices. This has been corrected.
- Remove
Job History. Since some of you have erased job history when
you meant to search it, I inserted a warning message before
you go into that option.
- Job
History Search. If you stopped in the middle of a search
and tried to pick up where you left off, it didn't work.
This has been corrected.
- Print
Deposit Slips. Deposit slips were showing all "payments",
including discounts taken. This has been corrected so that
only payments posted to the "cash in bank" distribution
code will be shown on deposits. Make sure that the correct
distribution code has been entered for cash in bank (see
Setup --> Company Name etc.).
- Customer
Status Display. When displaying deposits for a customer,
if a job had more than one deposit, it was not showing it
on the display. Invoicing seemed to pick it up correctly.
- Customer
Status Display. When clicking on a transaction, the program
was not showing how the transaction was applied. This was
corrected.
Version
5.2.3 (dll version 5.0.8)
- Transaction
Post. In cases where you are posting a credit or
payment to many items, the program had a problem if you
were applying a credit against something other than an invoice.
This problem has been corrected. If you see a message reading,
"Warning: Invoice #12345 has too many transactions applied
to it!", this indicates that the program had a problem and
at least one account will be out of balance with itself.
- Distribution
Report. Let's say you were ending 1998 and starting 1999,
but you haven't closed December 1998 yet (you are on a calendar
year). January 1998 should be viewed as period 1, but it
was being viewed as the first period of the new year by
mistake. This has been corrected on this version. Most people
will never encounter this problem because you normally would
have any January 1998 transactions left in your distribution
file when you are processing December 1998.
- Distribution
Code List. The Omit Sales History and Omit Commission flags
were not being reported properly.
- Invoice
Entry. Cleaned up a minor annoyance. When changing an invoice
header, then viewing the invoice detail, upon return to
the header window, the program started searching for customers
based on what it thought was a blank entry in the customer
number field. This was corrected.
- Invoicing
from Jobs in Progress. The program now checks for deposits
when recalling an invoice from Jobs in Progress.
- Jobs
in Progress. Added function key capability using the same
function key definitions as Invoice Entry.
- Invoice
Printing. If you are printing invoices on 8.5x14 paper and
you are printing freight lines as a special line at the
bottom of the invoice, the freight information was incorrect
on the second invoice on the page. This has been corrected.
- Job
History. After searching job history, the program was not
properly closing all necessary files. This prevented the
program to open these files again unless the program was
ended and started up again. Unfortunately, if you decided
to rebuild the job history at this time, the job history
file was damaged beyond repair and had to be recovered from
a backup. Both of these problems have been corrected.
- Job
History Report. The sales rep "[c17]" was not being shown
correctly on the report. This has been corrected.
- Payment
Entry. Corrected an error where the check total wasn't updated
when a line was changed. Note that you can click on any
line at the top portion of the window and the check total
of the line you clicked will be displayed.
- Customer
Status Display. New Feature. There is now a "Deposits" button
next to the Notes button. This button shows all deposits
currently open for this customer. It also looks in Jobs
in Progress and shows the estimated invoice total if the
job is found in the Jobs in Progress database.
Version
5.2.2 (dll version 5.0.7)
- Invoice
Entry. Note, this problem affects you only if you
allow the program to automatically assign invoice numbers.
In making the change noted below in version 5.2.1 (retaining
customer # from one invoice to the next), an error was introduced
involving the invoice number. When you finished one invoice,
it not only left the previous customer number, it already
assigned the next invoice number. This was ok except when
you were finished invoicing. Since the next invoice # was
"assigned" by the program, it assigned another new one when
you started another batch of invoices at a later time. The
result was that you had an invoice number that didn't belong
to any invoice. This has been corrected on this version.
When you are placed on the invoice number field, just press
the Enter key to have the program automatically assign the
next invoice number.
- Jobs
in Progress Report. When jobs are sent over from Estimating,
the first line contains the invoice number and is hidden
on the invoice. This line was printing as the job description
on the jip report. This has been changed so that the first
non-blank line prints as the job description.
- Statements.
When searching by company name, the list of companies was
not being displayed properly within the window.
- Statements.
The statement format now allows a "[rewind]" command to
permit printing two statements per page. This is typically
done on a laser printer using 8.5x14 inch paper. Just put
[rewind] on a line by itself between the two versions of
the statement format. Hint: You can first get the form set
up correctly for the top statement, then duplicate it on
the bottom statement. Just change the offset for the second
statement to make it print on the bottom half of the page,
something like "offset -6/32 6:26/32" should do it.
- Adjust
open items. When applying payments against invoices, the
program now applies the payment to the specific line you
are pointing to. The program used to apply the payment to
that invoice number. This caused problems if you had more
than one invoice with the same number.
Version
5.2.1
- Invoice
Print. If you are printing more than one invoice per page,
this change affects you. When printing multi-page invoices,
the program will now print all copies of page 1, all copies
of page 2 etc. This is a change from the previous version.
- Invoice
Entry. When finishing one invoice and starting another,
the customer number is retained so you don't have to re-type
it if the next invoice is for the same customer.
- Restore
Data. When displaying previously restored files, it now
sorts them neatly by date. This makes it easier to find
the desired file than the previous order which was almost
random.
- Personal
Information. If you keep records for more than one company,
each company has its own set up "preferences". Where each
screen is positioned on the screen, which printer you use,
how many lines per page to print etc. The program was not
switching these preferences properly when switching between
companies.
Version
5.2.0
- Invoice
Entry. Added a warning. After the invoice number is entered,
the program displays a warning if the invoice number already
exists in job history. This makes it easier to determine
if you are generating duplicate invoice numbers. You may
issue a second invoice with the same number for the same
customer. In this case, the earlier invoice is erased from
job history.
- Import
from DOS. Found a problem that was introduced in 5.1.9.
When importing from job history, duplicate invoice numbers
for the same customer were not being handled properly. This
resulted in missing invoices in history.
- Invoice
Summary. At the end of the "Invoice Data Post" report, there
is an optional invoice summary. That summary was not reporting
the company name correctly. This has been corrected.
Version
5.1.9
- Aging
Analysis. On an earlier update, the sales rep was added
to this report. As a result, the customer line (cust#, business
name, etc.) was now 81 characters instead of the usual 80
maximum. Apparently some printers do not ignore the extra
space, but instead print an extra blank line. To resolve
the problem, this program was changed to print a maximum
of 80 characters on this line.
- Import
from DOS. Added some sophistication to the importing of
job history in two ways. 1) It now looks for duplicate invoices
and attempts to resolve conflicts. If two invoices with
the same # for the same customer are found, it erases the
first one. If the invoice is for a different customer, it
attempts to alter the invoice number by putting a "-A" or
"-B" after the invoice number, and 2) tries to ignore damaged
records found during the import, but still read the rest
of the file. The program used to stop when it encountered
damaged records.
- Statements.
Nasty messages were not printing out on statements. Now
they are.
- Statements.
Added the ability to sort by customer # as well as company
name. Also added the ability to print all customers after
a certain customer. This way you can pick up where you left
off if your printer jams.
